Our client is part of a group of companies involved in the property and construction industry in the UK. They are seeking an experienced Corporate and Banking Administrator to join their team.
Job Description
Corporate Records Management
- Maintain and update statutory registers (e.g. Members, Directors, UBOs, Charges).
- Organize and safeguard critical corporate documentation (e.g. incorporation documents, certificates, trust deeds, share certificates).
- Draft and manage corporate resolutions, board meeting documentation, and filing.
- Maintain contracts and agreements including loan documentation and partner funding notices.
- Oversee record-keeping for financial statements, tax certificates, and tax advice.
- Ensure timely filing of annual returns and confirmation statements (UK and offshore).
Payments Processing
- Manage supplier, tax, and payroll payments across multiple banking platforms.
- Validate payment requests, ensure proper authorization, and execute electronic and manual payment methods.
- Maintain a weekly payment list report and reconcile all payment transactions.
- Liaise with cost controllers and resolve payment-related escalations.
- Produce weekly reports confirming all bank transactions are properly recorded.
Banking Administration
- Open/close bank accounts and update mandates.
- Manage bank signatories and user access.
- Coordinate due diligence submissions and resolve bank-related queries.
- Maintain schedules of all bank accounts with relevant billing and compliance references.
KYC Compliance
- Perform quarterly reviews of Director/UBO KYC documentation.
- Request and update expired documents (e.g. passports, utility bills) to ensure compliance.
Statutory Filings
- Ensure timely filing of all UK and offshore confirmation statements.
- Maintain a schedule of statutory deadlines and ensure proactive compliance.
Your Profile
- Strong knowledge of corporate administration, financial operations, and compliance.
- Meticulous attention to detail and high organizational standards.
- Proven experience in managing payments and multi-entity banking.
- Excellent communication skills and ability to collaborate across departments.
- Fluent in both Greek and English, professionally proficient in written and spoken communication.
